The best AI receptionist for a small business: how to actually choose

There is no best AI receptionist — there is a best one for where your enquiries actually arrive. If customers phone first, you want a phone product. If they find you by search and land on your website, you want website chat. If you are drowning in support tickets, you want a helpdesk with AI, which is a different tool again.

Answer that one question first and most of the market falls away. Then judge what is left on six things.

The six things that matter

1. Does it answer from your content — and show its sources? The difference between an AI receptionist and a toy is whether it answers from your services, prices and policies, and can show where each answer came from. No citations means no way to check it, and an AI that cannot say "I don't know" will improvise.

2. Does it qualify, or just chat? A conversation that ends without a name, a phone number and what the person needs is a nice transcript, not a lead. Ask what the tool asks. The questions should match how your industry qualifies a first call — they differ more than you would think.

3. Can it turn away work you cannot serve? Out-of-area, out-of-scope enquiries cost real time. Screening by location before the enquiry reaches you is the kind of unglamorous feature that pays for the product.

4. Is the pricing flat? Metered plans bill you most in your best month. The full cost breakdown is here — the short version is that the billing model matters more than the sticker.

5. Can a human take over? Some conversations need judgement. One click into the chat, without the visitor being bounced to a different channel, is the honest version of "AI plus human".

6. Whose brand is on the widget? If the vendor's logo is on your chat window, you are advertising them to your customers — often paying for the privilege of removing it.

Red flags

A demo that only works on the vendor's polished example site. Pricing that needs a sales call to learn. Per-seat charges for a tool one person configures. "Trained on your website" with no way to see what it learned. Annual contracts with setup fees at small-business prices.

The honest map

  • Enquiries arrive by phone → an answering service. Smith.ai is the serious option; real humans cost more and are worth it for phone-first trades. Our comparison says so plainly.
  • You need a full support helpdesk — tickets, SLAs, a team inbox → Tidio or a proper helpdesk, not us.
  • You already run on HubSpot → use their chat; a conversation inside your CRM beats a better widget outside it. Details here.
  • You want website visitors turned into qualified leads, at a flat price, set up in an afternoon → that is the job Mazingi was built for, and nothing else.

The ten-minute test

Skip the feature pages. Point the tool at your own website and ask the three questions your customers ask most. You can do that with ours free, no signup. Whichever product answers those well — from your content, with sources, ending in a captured lead — is the best one for your business. That is the whole decision.

Never miss another customer or booking

Mazingi answers your website visitors 24/7 from your own services and prices, captures the lead, and books the appointment. Free plan forever — 1 receptionist, 50 chats a month, no card.
